Requirements:
Shift: Mon-Thurs 8am-4:30pm, Fri 8am-4pm
The primary purpose of this position is to gather and communicate accurate information in a timely manner to specific customer accounts and production. Build customer and co-worker confidence, trust and loyalty through courtesy and professionalism.
Essential Functions and Responsibilities:
1 Review, update and enter orders in the system. Email customers Order Acknowledgments. Track orders through production and keep the customer updated on progress of their order.
2 Alert prepress department of artwork and copy changes to existing or new items. Ensure changes happen and new items are processed in a timely manner. Keep track of customer signed proofs. Review proofs for errors and approve for print.
3 Research and provide proof of deliveries (POD) for shipments or Bill of Ladings (BOL) to the customer if required. Communicate with the shipping department on a daily basis.
4 Work with A/R and the Sonderen sales department to research & answer invoice questions.
5 Update applicable spreadsheets to ensure clear communication between customer and internal departments (plant manager, shipping and scheduling). (customer dependent)
6 Vendor Managed Inventory: Track 3 month projections, create orders for customer based on anticipated need, ensure accurate inventory levels from internal and external warehouses. (customer dependent)
7 Anticipate needs and be willing to do whatever is required to ensure customer satisfaction. Contact customers regularly to update them on current orders or ask about future needs.
8 Request estimates from estimating, type quotations and email them to the customer.
9 Thoroughly learn, use and navigate the company ERP operating system.
Knowledge/Skills/Abilities/Education:
BA preferred or an equivalent combination knowledge, skills, education or work related experience.
Job related customer service experience for 2 years minimum.
Excellent and professional written and verbal communication skills. Ability to work in a team environment.
Working knowledge of the following areas:
Ability to multi-task and recall details. Ability to calculate and remember numbers
MS office experience, excellent word process/typing skills.
Tracking shipments, data entry, phone skills, handling customer issues.
Excellent organizational skills, filing, multi-tasked in a deadline-driven environment, project management.
Detail oriented.
Self-starter who takes directions well when provided. Ability and willingness to learn new things. Able to brainstorm ways to make job/processes move efficiently and effectively towards continuous improvement.
